Personal data we collect

  • Contact & enquiry data (e.g. name, email address, phone number, your message) when you contact us.
  • Booking & stay information if you book accommodation with us (e.g. dates, property, special requests).
  • Technical data such as IP address, device/browser information and basic server logs for security and troubleshooting.
  • Analytics data (only if you consent) about how visitors use our site (see Cookie Policy).
  • Communications we exchange with you (e.g. emails, messages).

How we use your data & legal bases

  • Respond to enquiries (UK GDPR: legitimate interests to run our business and respond to you; and/or pre-contract/contract if your enquiry relates to a booking).
  • Manage bookings and provide accommodation (UK GDPR: contract and legal obligation for invoicing/accounting).
  • Site security and performance (UK GDPR: legitimate interests to keep our site secure and working).
  • Analytics to improve the website — only with your consent via our banner (UK GDPR: consent).
  • Direct marketing (rare; only if you ask us to or otherwise lawfully permitted). You can opt out at any time (UK GDPR: consent or legitimate interests where applicable).

Cookies and similar technologies

We only set analytics cookies (Google Analytics 4) if you consent using our cookie banner. We do not use advertising cookies. You can change your choice any time — see our Cookie Policy for details.

Sharing your data

We share personal data only as necessary with trusted providers who act on our instructions:

  • Website hosting & security (infrastructure and log storage).
  • Email services for enquiry/booking communications.
  • Analytics (Google Analytics 4, only when you consent; IP anonymisation enabled; no advertising features).
  • Professional advisers (accountants, legal) and authorities when required by law.

We do not sell your personal data.

International transfers

Some providers (e.g. Google) may process data outside the UK. Where this happens, we rely on appropriate safeguards such as the UK Addendum to the EU Standard Contractual Clauses and other measures (e.g. IP anonymisation in GA4).

How long we keep your data

  • Enquiry emails: typically up to 12 months after our last correspondence (unless they lead to a booking or we need them to resolve an issue).
  • Booking and invoicing records: usually 6 years to comply with tax and accounting laws.
  • Server logs: typically 30–90 days for security and troubleshooting.
  • Analytics data: retained by Google Analytics for up to 14 months (subject to your consent and our GA settings).
  • Cookie consent record: up to 12 months or until you change your choice.

Your rights

You have the following rights under UK data protection law:

  • Access to your personal data.
  • Rectification of inaccurate or incomplete data.
  • Erasure (in certain circumstances).
  • Restriction of processing (in certain circumstances).
  • Objection to processing based on legitimate interests and to direct marketing.
  • Portability of data you provided to us.
  • Withdraw consent where we rely on consent (e.g. analytics or marketing) — this does not affect processing before withdrawal.
  • Not to be subject to decisions based solely on automated processing that produce legal or similarly significant effects (we do not conduct such profiling).
